Simpro Integration

FlatRateNOW's integration with Simpro adds a powerful tool to your toolkit. By removing the need to double handle information, Simpro Quotes and Jobs will automatically sync and quotations accepted in FlatRateNOW will automatically sync back into their respective Simpro location.

As Simpro allows users to created 'Simpro Quotes' and 'Simpro Jobs' independently, you will notice that FlatRateNOW will put a pre-fix of either Q or J in front of the number. This is to represent what it is in Simpro;

Q- : Simpro Quote

J- : Simpro Job

 

How does the FRN x Simpro Integration work?

 

Simpro Quote Created: When a Simpro Quote is created, if the 'Salesperson' field is populated by a user that is matched, the Simpro Quote will automatically download into that users Job List in FlatRateNOW

Simpro Job Created: When a Simpro Job is created, if the 'Salesperson' field is populated by a user that is matched, the Simpro Job will automatically download into that users Job List in FlatRateNOW

Simpro Schedule Updated: When the Simpro Schedule is updated, an appointment is created in FlatRateNOW for all users that are matched. This will provide access to that Simpro Quote or Simpro Job within FlatRateNOW.

Simpro Quote Converted: When a Simpro Quote is converted into a Simpro Job, FlatRateNOW will automatically create the corresponding Simpro Job and assign it to the user.

Quotation Accepted in FlatRateNOW: When a quotation is accepted in FlatRateNOW, the 'Cost Centre' provided on creation will be populated by the details. Depending on the Upload Mode, the following information will be uploaded:

  • Total Price Only
    • The Task Heading, Description and Total Price
  • Labour & Material
    • The Task Heading, Description, Hours Sold and Total Material Value

Invoice Generated in FlatRateNOW: When a Simpro Job is invoiced in FlatRateNOW, it will automatically generate the invoice in Simpro and the corresponding Simpro Invoice Number overrides the FRN Stored Invoice number to ensure consistency.

Payment Recorded in FlatRateNOW: When a payment is recorded against an invoice in FlatRateNOW, the payment method will also upload into the Payments tab of the invoice in Simpro

 

What to consider with the Simpro Integration:

  • You cannot upload an accepted quote from FlatRateNOW to Simpro if someone is in the Simpro Quote or Job. You will receive an error. To resolve this, that person must close their view before you retry the upload
  • You cannot upload an accepted quote from FlatRateNOW to Simpro if the cost centre is locked. If this occurs, FlatRateNOW will automatically generate a new Simpro Job number + cost centre
  • When invoicing a Simpro Job within FlatRateNOW, if the cost centre amount doesn't match exactly to the amount being invoiced in FlatRateNOW, you will receive an alert.
  • ALL USERS must have the 'Salesperson' Employee Setting ticked in their Employee profile

The available Simpro Integration Settings

  • Enable Invoice & Payment: This will allow you to invoice and collect payment in FRN
  • Update Project Manager on Quote Acceptance: If you'd like the Project Manager field of the Simpro Quote/Job to be updatedwith the user that sold the quote, you'll need to tick this. YOU WILL ALSO NEED TO SET THAT USER AS A PROJECT MANAGER IN THEIR SIMPRO EMPLOYEE SETTING.
  • Lock Job Cost Centre on Quote Acceptance: VERY IMPORTANT: We strongly recommend enabling this function. This will stop the Simpro Mobile app from adding to the Cost Centre, impacting the invoice. Instead, Simpro Mobile will update the 'Cost' component to assist in your P&L.
  • Delete Service Fees on Quote Acceptance: When a quotation is accepted in FlatRateNOW, and automatic/default Service Fees added to the cost centre will be purged to ensure the values match.
  • Convert Simpro Quote to Simpro Job when accepted: When a quote is accepted in FlatRateNOW, if this is ticked, we will automatically convert the Simpro Quote to a Simpro Job.
